Who is LadiDone for?
LadiDone is built for Everyone: Homeowners who want peace of mind, Service providers (landscaping, housekeeping, pool care, pest control, and more) who need clarity with clients and employees, and Employees who need clear direction without endless back-and-forth.
Why was LadiDone created?
LadiDone started as a tool we wished we had. It helped us fix the everyday problems in our own work and home life. We hope it does the same for you.
What problems does LadiDone solve?
-Missed scheduling → task scheduling + real-time check-ins.
-Language barriers → instant in-app translation.
-No proof of progress → photo proof + clear task history.
-Ignored tools → a simple app your team will actually use.
and plenty more.
How can I get help?
We are here for you! Send us an email to us at hello@ladidone.com and let us know how you like to communicate (email, phone call, text) and we will get in touch with you.
What makes LadiDone different?
Our secret sauce is fixing the communication gaps that cause frustration between homeowners and service providers.
Instead of just scheduling or task lists, it creates a shared, bilingual, visual record of work so everyone sees the same information, the same updates, and the same expectations.
It’s simple enough for anyone to use, yet powerful enough to support an entire service operation—helping eliminate misunderstandings, reduce rework, and keep every project moving smoothly.
What is this Check In / Check Out feature all about?
As a homeowner, I love knowing when people are working at our house. As a small business owner, I love knowing where my team is at. So we built a simple Check In / Check Out feature. As a service provider, tap the timer icon on the top right of your screen when you are in a specific project. If you check in, everyone on the team for that specific project will be notified. Once you are ready to Check Out, tap the same icon. That’s it!
And remember, all tasks completed between Check In and Check Out will be shared automatically as an Auto Job Summary in the project Chat thread.
*Note: During Check In, you have the option to do so without notifying the entire team. If that is preferred, tap the “Complete Tasks without Check In” option on the Check In screen.
What is LiveTask Translation™?
It’s our AI-powered instant translation system. Messages typed in one language are instantly translated into the recipient’s preferred* language, so crews and clients always understand each other.
Preferred is the language the user’s phone is set to when the app is first installed.
What is the Auto Job Summary?
LadiDone tracks all tasks completed within a “Check-In” and “Check-Out” window.
Once a user is done for the day “Checks-Out”, an AI generated summary of all tasks completed is shared in the project Chat for all members to access.
We know, pretty slick.
Does LadiDone track locations?
LadiDone does not track your location in the background. Location is only used when you choose to share it — for example, when you Check-In at the start of a project and Check-Out at the end.
Here’s what you need to know:
-You’re in control: Location sharing happens only when you actively Check-In or Check-Out.
-No hidden tracking: LadiDone never runs GPS tracking in the background.
-Project-specific only: Location is tied to a project so clients know when service begins and ends.
-Transparency for all: Both Teams and Clients see the same clear check-in/out updates.
Do I need to turn translation on?
No. Translation happens automatically in the background.
You’ll always see messages and tasks in your chosen app language if you are in our Free Trial Period or are subscribed to the Pro, Expert, or Enterprise plans.
Is Chat history saved?
Yes. Chat and task history stay linked to each project for easy reference and accountability.
Can anyone use the Chat feature?
Yes, everyone on your team may access this feature and read the Chat thread.
However, not everyone may interact on the Chat thread. Only Team Members with “Manager” level permissions can interact on the Chat interface.
What languages are supported?
LadiDone uses Gemini AI translation to make communication seamless across all* languages. Messages in Chat and task details are automatically translated into each user’s preferred language, so everyone can understand and stay aligned — no matter where they’re from.
Major world languages are included, giving your team and clients the flexibility to communicate without barriers.
Note: User interface navigation will update between and English and Spanish only.
How does Chat work?
It works just like any other group chat — but smarter. For every project, LadiDone automatically creates a dedicated chat that includes everyone associated with that project. This keeps all project-specific details, updates, and coordination in one place, making communication organized and easy to follow.
Clients can also use the chat to ask questions, share notes, or upload photos related to the project, ensuring everything stays clear and documented.
How does the Map work?
The Map feature gives you a real-time view of who is checked in and where they’re working. Want to know which project your team is actively on? Or confirm if your house cleaner has finished and departed? The Map makes that easy.
Blue pins show project locations.
Green pins mean a team is currently checked in at that project.
Who controls visibility and access?
Organization Owners/Admins invite members and control which projects they can see. Employees or collaborators only see their assigned projects.
How are Organizations and Teams different?
The Organization is the account that owns everything. “Teams” are simply whoever you’ve added to a specific project and live under the umbrella of an “Organization”.
Can people be part of more than one project?
Yes.
Members of your Organization can be invited to as many projects as needed. They’ll only see the projects they’re part of....pretty sweet, right? You assign the right people to each project as you go. There’s no need to maintain permanent departments or groups. You can update team members assigned to all projects at any point.
Do I need to set up Teams in advance? What if my team changes?
No. You just assign the right people to each project as you go. There’s no need to maintain permanent departments or groups. You can update team members assigned to all projects at any point.
What are Teams?
“Teams” aren’t fixed groups — they’re the people you add to a project. Each project can have its own mix of members chosen from your Organization.
What is an Organization?
An Organization is your main account — like a business or household. It owns all projects, tasks, and billing. It’s our way of keeping your information clutter free and, well, organized.
Can anyone on my Team create tasks?
Not necessarily. When you invite a Team Member, you assign them a role with associated permissions. They can either Complete Tasks or Manage Tasks.
Staff (Complete Tasks only): Limited permissions, can only complete tasks. Can not create, edit, etc.
Manager (Manage Tasks): Full permissions*, can create, edit, etc.
*Note: Assign “Manage Tasks” permissions does not give Team Member Admin-level permissions. Only the owner of the Organization has Admin-level permissions.
What happens to tasks that are completed? Are they gone forever?
Not quite. Completed tasks are archived to de-clutter your space. You can filter tasks for any project to include archived tasks. You can also bring them back to life and into your task list if desired and set a new due date.
Can I track progress over time?
Yes. Completed tasks are archived but remain accessible with associated photos and notes, giving you a clear record of past work.
How do teams collaborate on projects?
Team members see the same project board, with real-time updates, task status, and chat built into each project.
Can tasks include photos or videos?
You Bet. You can upload images or video clips to provide instructions, details, etc. You can also add images or video clips as proof of completion or before-and-after updates.
How do I create an account?
Download the app from the Apple App Store or Google Play Store, sign up with your phone number and verify with a one-time passcode (OTP). Voila.
Do I have to assign tasks to use the app?
Nope, tasks can remain unassigned and will be accessible by anyone in project Team and Organization.
How do I create and assign tasks?
Within a project, tap Add Task, enter details, and assign it to a provider or employee. Add photos, notes, or due dates as needed.
What are Projects ?
Projects are shared spaces where homeowners and providers organize tasks — whether recurring (weekly mowing) or unique (holiday cleanup).
How do I cancel or delete my account?
Go to Settings → Delete Account. Once confirmed, all your data (tasks, chats, history) will be permanently removed.
What do the icons next to a Project name represesnt?
The two icons represent ownership of a project. The crown icon shows you are the creator and owner of that project. The multiple people icon shows you have been invited to a project and do not have Admin access.
Is there a minimum age to use LadiDone?
